1. Acceptance of Terms
Signing in means you accept these terms. The portal is a government system belonging to the Jena Band of Choctaw Indians.

2. Who May Use the Portal
Access is limited to verified tribal members, tribe employees, and people the tribe has specifically authorized. Signing up under a false identity, or helping an unauthorized person get in, is prohibited.

3. Your Account and Sign-In
Keep your sign-in to yourself and tell an administrator straight away if you think someone else has used your account or you lose a signed-in device.
Keep your sign-in credentials confidential. Do not share them with anyone else.
Tell an administrator immediately if you believe someone else has accessed your account, or if you lose a device that is signed in to the Portal.
Use the Portal only for official tribal business or for the personal member services it offers you, such as viewing your own enrollment record.
4. Rules for Using Specific Portal Features
Text messaging must follow FCC rules. Member directory and family tree data must not be copied or shared outside the portal. Task records and reports are official tribal records. Property maps are not a legal survey. AI features are drafting tools, so check what they produce before relying on it.
Text messaging (SMS): if you are authorized to send messages through the Portal’s Member SMS feature, you must follow FCC rules for text communications. Sending marketing content, spam, or messages unrelated to tribal business through this feature is prohibited.
Member directory and family tree: the tribal member directory and family tree records are sensitive. Copying, exporting, or sharing this data outside the Portal without authorization is a violation of these terms and may result in your access being suspended or removed.
Task tracking and reporting: if you use the Portal’s task-tracking and reporting features, you are responsible for the accuracy of what you submit. Task records and reports are treated as official tribal records.
Land and property records: maps and property boundary information in the Portal are for tribal administration and member reference. They are not a legal land survey and must not be relied on as one.
Artificial intelligence features: some Portal features, including the member chat feature and meeting-transcription tools, use Google’s AI models to generate answers or text. These run on the tribe’s own Google Cloud project through Vertex AI, not on the free public Gemini app. They are drafting and lookup tools. Review what an AI feature produces before relying on it or acting on it as a verified statement from the Tribe, and do not paste a Social Security Number or similar identifier into one. The Privacy Notice describes what information these features send, what is withheld, and why.
5. Ownership and Tribal Sovereignty
The data in the portal belongs to the tribe, not to any vendor, contractor or cloud provider, and these terms do not waive the tribe's sovereign immunity.
The Portal, and the tribal data within it, is the property of the Jena Band of Choctaw Indians and is protected under tribal law. Using the Portal does not waive the Tribe’s sovereign immunity, and nothing in these terms should be read as such a waiver.
6. No Warranty and Limits on Liability
The portal is provided as it is. The tribe does not guarantee it will always be available or error free, and limits its liability accordingly.
The Portal is provided as it is, including while it continues to be actively developed and improved. The Tribe works to keep the Portal available and its data accurate, but does not guarantee uninterrupted access or that every record, including records carried over from earlier systems, is free of error.
7. Ending Access
The tribe can suspend or end access, including for breaking these terms. Your records remain tribal records after your access ends.
The Tribe may suspend or end your access to the Portal, including for a violation of these terms, at any time. Employees who leave tribal employment, or members later found not to meet eligibility requirements, may have their access removed as part of that process.
8. Enforcement
Breaking these terms can cost you access to the portal and, for employees, may be handled under tribal personnel policy.
Violating these terms may result in suspension or removal of Portal access and, for employees, may be addressed through the Tribe’s personnel policies. Some violations, such as unauthorized use of the Member SMS feature or unauthorized export of member data, may also carry legal consequences under tribal or federal law.
